Our Opportunity The Receptionist Office Administrator is responsible for answering all incoming calls for the company, greeting guests, and supporting the office staff. Areas of Accountability: 1. Answers incoming telephone calls, determines purpose of callers and forwards calls to the appropriate person or department. Takes and delivers messages or transfers calls to voice mail when the appropriate person is unavailable. References the Salesperson Directory for account assignments.* 2. Communicates with callers in a professional manner using a pleasant and clear voice. Answers questions about JEM Technical and provides callers with address, directions, and other information.* 3. Welcomes on-site visitors, determines nature of business using sound judgment, and announces visitors to the appropriate person. Offers visitors coffee or water and offers to store personal items in the coat closet.* 4. Pages people over the company intercom using a pleasant and clear voice.* 5. Receives, sorts and routes mail on a daily basis.* 6. Retrieves and routes faxes in a timely fashion.* 7. Scans and files office documents, including completed job travelers.* 8. Sends accounts receivable invoices on a daily basis by e-mail and regular mail in an accurate and timely fashion.* 9. Enters accounts payable invoices on a daily basis into the purchase order system in an accurate and timely fashion. Works with the purchasing department to resolve pricing discrepancies between purchase orders and invoices.* 10. Complies with all JEM policies and procedures, including ISO, OSHA, and AWAIR requirements.* 11. Maintains regular and predictable attendance.* 12. Performs other duties as assigned.
